Does your Hospital use the PPS Number at present?

Yes.

For what purpose(s)?

It is used as part of the payroll system for hospital staff and ex-employees (pensioners). It is also recorded on various forms on personal files held in Human Resources. Its main use would be for identification reference within payroll.

Does your Hospital exchange the PPS Number with any external body? If so please name the relevant bodies and state the purpose(s) of the exchange

The PPS Number is exchanged with other Government Departments, predominantly with the Department of Social Protection and Revenue Commissioners. The main exchanges would be:

  • for identification purposes when contacting the Office of the Revenue Commissioners in connection with PAYE and PRSI matters and for identification reference when submitting end of year returns i.e. P35
  • for identification purposes when submitting pension forms/instructions to Department of Public Expenditure and Reform
  • for identification purposes when submitting forms to Social Protection i.e. Illness Benefit claims forms, Maternity Benefit application forms, F.I.S application forms etc
  • the PPS Number would also be supplied to Local Authorities when completing Differential Rent Scheme Applications
  • the PPS Number would also be supplied to financial institutions as it is normally required to be included on Certificates of Income which would be completed at the request of employees.

What future plans has your Hospital for the use of the PPS Number?

There are currently no plans to extend the use of the PPS Number in the Hospital.

  • where it is kept in a way that allows you to identify who the data is about, retain it for no longer than is necessary

  • be able to demonstrate your compliance with the above principles and
  • respond to requests by individuals seeking to exercise their data protection rights (for example the right of access
