Does your organisation use the PPSN at present?

Yes.

If so, for what purpose?

LMETB uses the PPSN of our Staff Members and Students/Trainees/Apprentices for the following purposes:

  • Payments to all Staff, Students and Apprentices in LMETB
  • Superannuation or Pension administration
  • Administration of Sick Leave Cycle and Pay related leave entitlements, for example Maternity

Tax and PAYE

  • DES, DSP, CSO and returns to Government bodies as required by legislation
  • Student Identity for Schools and Further Education Training entry, assessments and some Certification where required, for example QQI
  • Administration of Grants and Scholarships

Does your organisation exchange the PPS number with any other body? If so please name the relevant bodies and the purpose(s) of the exchange

LMETB exchanges PPSN with government bodies such as the following for purposes required in legislation:

  • Department of Education and Skills
  • Department of Social Protection
  • Revenue Commissioner
  • CSO in relation to statistical returns
  • The Teaching Council in relation to the registration of teachers
  • QQI regarding examination registration
  • SOLAS in relation to administration of certification and apprenticeships
  • Paymaster General for payment of pensions and for grants and scholarships
  • Financial institutions – only at the request of the Employee or Student for conducting personal matters

Does your organisation have any other plans involving the use of the PPS number?

No, we only use PPSN as required by governing legislation.

There is a duty to ensure compliance with the principles of processing personal data which are set out in Article 5(1) and 5(2) of the GDPR. These principles are summarised as follows

  • obtain and process the information fairly
  • keep it only for one or more specified, explicit and lawful purposes
  • process it only in ways compatible with the purposes for which it was given to you initially
  • keep it safe and secure
  • keep it accurate, complete and up-to-date
  • ensure that it is adequate, relevant and not excessive
  • retain it no longer than is necessary for the specified purpose or purposes
  • give a copy of his or her personal data to an individual, on request

Have you measures in place to ensure that the Public Service Identity data you hold/collect whether in electronic or written format is in line with the GDPR Principles described above?

Louth and Meath Education and Training Board confirms that we have adequate measures in place to ensure that the PPSN data we collect is in line with the GDPR Principles. The PPSN data is used only for the purposes outlined in our Privacy notices and Data Protection Policy, and is securely stored and retained in both in electronic and paper format. The data is accessible only to those lawfully authorised to process it as part of their duties.
