The Department of Culture, Communications and Sport is seeking applications from suitable candidates from this competition to fill vacancies that may arise for the position of Services Officer in the Department of Culture, Communications and Sport, Leeson Lane, Dublin 2 and in the National Archives of Ireland, Bishops St, Dublin 8.
A panel will be formed and will be used to appoint Services Officers to permanent established positions.
The Role
The role of the Services Officer is crucial to the smooth operation of services in the Department.Services Officers work within the Corporate Service section and support the Head Services Officer. The role requires engaging and communicating with staff and managers across the Department as well as with other officials and members of the public.
Candidate’s assigned to the role of Services Officer will receive the relevant allowances in respect of their duties.
Principal Duties of the Role
The role of the Services Officer is as follows:
- Reception duties, including switchboard, dealing with the public, contractors, deliveries and basic security duties.
- Managing Post and DX (secure legal courier service), including franking.
- Managing collection and distribution of post throughout the building.
- Managing and arranging for collection of confidential and other waste and other items for disposal.
- Monitoring, checking and organising for replenishing of paper supply for photocopiers and printers.
- Monitoring repairs and similar issues and logging them with Office Services and/or OPW and liaising with same.
- Participation in organising fire drills, fire safety manager, fire warden and fire marshal training
- Maintain log of visitors into and exiting the building.
- Issue and retrieval of swipe cards for visitors.
- Raise any concerns/report to Office Services Management on any issue concerning maintenance of building/office areas for action by Office Services Management Team.
- Raising and lowering flags as appropriate.
- Reporting to the Department’s Access Officer any issues that may arise for customers accessing building.
- Additional appropriate duties as assigned from time to time.
The work will require lifting and carrying, use of trolleys and may require the use of safety steps.
The National Archives holds the records of the modern Irish State which document its historical evolution and the creation of our national identity. The holdings relate to all parts of Ireland and have enormous research potential as they provide essential primary source material for people seeking to understand the political, economic and social forces which have shaped our nation.
In addition to the above, Services Officer’s in the National Archives of Ireland will be required to carry out the following duties:
- Production and return of archival records from storage as required from the Bishop Street and all other National Archives sites.
- Production and return of archival documents from archive storage areas to the Reading Room.
- Make up archival boxes and folders
- Assist with the sorting, numbering, listing and packing of archival documents
- Assist with the movement and shelving of archival records
- Supporting and assisting staff in the Division or in other Divisions as required
- Assist in daily duties in the Four Courts
- Assisting during visits and special events in National Archives
- Assisting in deliveries to the building and undertaking duties to ensure their proper receipt (including deliveries to the warehouse)
- Assisting with the movement of archival records stored in the warehouse
- Assisting in the checking, sorting, repacking and shelving of archival records
- Assisting in the disposal of confidential and other waste
- Use of pallet trucks and trollies for moving of records
- Issue of stock of archival-quality boxes and other packing supplies etc.
- Keeping warehouse in good order.
